With Gearhardt being a small town you might reach out to their high school (a main club or senior parents group) or community clubs like Elks, Moose or such. Sometimes groups like that will donate their time & services and you just make a donation to their club and they know the local area well and many family's have vans, suburbans so you might not need to rent vehicles and then you can set up a schedule of shuttle times for each hotel for your guests.
